What we collect and why
When you request a quote or contact us. The questionnaire and enquiry forms ask for your name, email address and telephone number, details of the property and the service you need (for a home survey quote: type, approximate age, approximate value, number of bedrooms, postcode, your stage in the purchase and timing), and any message you choose to leave. If you reached the site through one of our adverts or a campaign link, the enquiry also records which one. We use this to prepare and send your quote, to answer your enquiry, and to arrange and carry out the service you instruct. The lawful basis is taking steps at your request before entering into a contract, and performing that contract once you instruct us.
Instant quotes. For RICS Home Survey Level 2 and Level 3 enquiries the property details and your contact details are passed to Survey Booker, the quoting and booking platform we use, to generate your quote and, if you proceed, your booking. Survey Booker processes this information on our behalf.
Marketing performance. We work with a marketing agency, ADVRT, to run our advertising. Every enquiry made through this website, including your contact details, the property details and any message you leave, is also sent to ADVRT, which records it, notifies us of it and measures which advertising is generating genuine enquiries. The lawful basis is our legitimate interest in running the practice efficiently; you can object at any time.
Website analytics and advertising. With your consent (see Cookies below) we use Google Analytics and Google Ads conversion measurement to understand how the site is used and whether our advertising is working. If you do not consent, these tools run in a limited, cookieless mode or not at all, depending on your choice.
Telephone and email. If you call or email us we keep a record of the correspondence to deal with your enquiry and any resulting instruction.
We do not sell personal information, and we do not use it for automated decision-making.
Who we share it with
Service providers who process information on our behalf and under our instructions: our website host (Vercel), Formspree (which receives enquiry form submissions and delivers the notification to us), Survey Booker for instant quotes and bookings, Google (analytics and advertising, with consent), ADVRT (marketing performance) and our website developer, who receives a copy of an enquiry only if it cannot otherwise be delivered to us, so that it is not lost. When you enter a postcode in the quote questionnaire, your browser also looks it up on postcodes.io, a public postcode lookup service, to check the property is in the area we cover; only the postcode is sent. Where a provider processes data outside the UK, we rely on the UK’s adequacy regulations or the International Data Transfer Agreement / standard contractual clauses. We may also disclose information where the law requires it.
How long we keep it
Enquiry details that do not lead to an instruction are kept for up to 12 months and then deleted. Where you instruct us, your details and the survey file are kept for the period required by our professional indemnity insurance and RICS regulation, typically 15 years from completion of the instruction, and then securely destroyed. Website analytics data is retained for the period set in the tool, currently 14 months.
Your rights
You have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to its processing, and to data portability, in each case subject to the conditions in the UK GDPR. To exercise any of these rights email info@huxleysurveyors.co.uk. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Cookies and consent
When you first visit the site a banner lets you choose whether to allow analytics and advertising cookies. Essential cookies do not need consent. These are the cookies needed for the site to work, such as remembering your consent choice and the answers you have entered in the quote questionnaire while you complete it. For the length of your visit the site also keeps, in your browser, which advert or campaign link brought you to it, so that it can be attached to any enquiry you make. Analytics and advertising cookies (Google Analytics, Google Ads) are set only if you accept them; you can change your choice at any time using the “Cookie settings” link in the footer. We use Google Consent Mode, which means that if you decline, Google tags do not set cookies or store identifiers.
Security
Information you enter on this site is transmitted over an encrypted connection (HTTPS). Access to enquiry information is limited to the people who need it to deal with your enquiry.
Changes
We may update this notice from time to time. The date at the top shows when it was last changed.
